Job Description:
The company is a leading Original Equipment Manufacturer (OEM) in the mining and engineering industry. The candidate will be tasked with providing executive assistance to the Managing Director and key company executives.
Responsibilities:
- Managing MD and executives’ calendars
- Coordinate scheduling of meetings as well as management of content and flow of information
- Manage, coordinate and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, visas, forex
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Taking minutes of meetings
- Reading, researching, and routing correspondence, drafting letters and documents, collecting, and analyzing information
- Interacting with key stakeholders
- Screening telephone calls
- Presentations for each department and consolidating into one
- Company feedback sessions
- Monthly management reports
- Planning and managing all company events both onsite and offsite
- Quarterly Feedbacks
- Year-end functions
- Strategy Sessions
- Social events
- Assisting with projects upon request
- Reconciling the Company Credit Card Statements and submitting monthly journals to the accounts department
- Submitting and tracking paper flow for all Capex
- Submitting expense sheets for Management
- Assisting with the Gym
- General day to day office administration duties
- Co-ordinating local and overseas dealer / customer to factories (accommodation/visas etc.)
- Updating customer data base
Requirements: Qualification and Skill
- Completed tertiary qualification in business management or business administration
- At least 5 years’ experience in a similar capacity
- Highly organized individual with an ability to coordinate various projects simultaneously
- Time management and ability to meet deadlines
- Self-Direction
- Interpersonal skills
- Intermediate proficiency on Microsoft word, Excel, Outlook and Powerpoint
- Above average verbal and written communication skills
- Basic understanding of accounting principles
- An understanding of the business process flows
- Ability to work in a fast-paced environment and meet deadlines
- The ability to maintain confidentiality on sensitive / classified information.
- Displays attention to detail
- Experience in making international travel arrangements and an understanding of internal travel requirements.
